What is VRI? A Guide to the Fastest Growing Foreign Language Service in the United States, Video Remote Interpretation

The integration of stateThe integration of state-of-the-art technology and interpreting services continues to be an important part providing language support that is easy and timely to access. As we become more culturally and linguistically diverse, the ability to access remote interpreters, telephonically, and via video remote interpretation (VRI), enables organizations to work efficiently, cost-effectively, and with greater flexibility to meet communication needs quickly.

What is VRI?

What is VRI anyway? Video remote interpreting, or VRI, is a videotelecommunication service that uses devices such as web cameras or videophones to provide spoken language or sign language interpreting services.
Video Remote Interpretation (VRI) is currently the fastest-growing foreign language service in the United States. If you’re new to using VRI, it’s necessary to understand the best practices associated the technology. In this post, we’ll be focusing on the benefits of video interpreting and explaining the best practices for VRI success.

Why Video Remote Interpreting?

Video remote interpreting provides an opportunity for organizations to quickly meet the needs of limited English proficient populations, regardless of the language they speak.
Fast Response for Urgent Situations – VRI allows you to provide a fast response for both spoken languages and deaf and Hard of Hearing clients/patients. When the need for communication is urgent, VRI provides interpreter response in seconds.

On-Demand Interpreting Solution – Urgent situations, or situations not planned in advance, often call for the use of remote interpreters to meet language support needs. On-demand supports means having access when you need it, and at Telelanguage, we provide on-demand access to professional interpreters 24 hours a day, 7 days per week, 365 days year.

Enhanced Accuracy – The visual support associated with Video Remote Interpreting can provide enhanced accuracy for spoken language and American Sign Language (ASL).

Cost-Effective Video remote interpretation fills the gap between over-the-phone and on-site interpretation services. Conventional on-site interpreting typically requires at least a two-hour minimum charge and possibly mileage and travel charges. VRI services can help optimize your interpretation budget while adding the benefit of visual support. When searching for a VRI provider, be sure to ask if there are hourly minimums associated with VRI technology. Part of Telelanguage’s commitment to our clients is that we look for ways to optimize and lower your interpretation costs, so we do not charge hourly minimums or extra expenses for VRI services.

Why Work With a Language Service Provider?

Working with a dedicated language service provider provides organizations with the technology, quality of services, and consistency in all forms of interpreting, including video remote interpreting. Here are five important areas to pay attention to when selecting a VRI provider.

Interpretation Quality: A reputable language services provider ensures that interpreters are certified and qualified to provide the highest-quality interpretation.

Technology: Partnering with a quality language service provider delivers robust technological solutions and technical infrastructure for optimal interpreting sessions. It is imperative that all parties can see and hear each other clearly.

Staff Training: Staff adoption and ease of use are critical to video remote interpreting success. Your dedicated language services partner should be ready to provide training and client support for your staff on proper use and best practices of the interpreting solutions, its technology, and cultural awareness training to maximize efficiency.

Security and Compliance: An interpreting company should ensure the security of interpretation technology, and provide services that are compliant with necessary regulations. Telelanguage provides HIPAA, HITECH, and ADA compliant video interpreting services for our clients through a highly secure business class video connectivity platform that is accessible from any customer office or field site.

Customer Support: When you need assistance, you don’t want to have to wait on hold. When looking for a dedicated language service provider, be sure that they provide the full-time, dedicated customer support to help you succeed with all interpreting modalities.

Best Practices for Video Remote Interpreting Success

1.) Understand VRI Requirements:

When looking for a language services partner, it’s important to understand what you need from Video Interpreting Services. In regulations implementing Titles II and Title III of the ADA, the DOJ outlines minimum requirements for VRI use by covered entities:

[VRI must provide] real-time, full-motion video and audio over a dedicated high-speed, wide-bandwidth video connection or wireless connection that delivers high-quality video images that do not produce lags, choppy, blurry, or grainy images, or irregular pauses in communication. [VRI must provide a] sharply delineated image that is large enough to display the interpreter’s face, arms, hands, and fingers, and the participating individual’s face, arms, hands, and fingers, regardless of [their] body position. [VRI must also provide] a clear, audible transmission of voices.

2.) Positioning for the Interpreting Session:

When you are ready to start an interpreting session, you want the conversation to take place effectively, and this is especially important for use with deaf or hard of hearing individuals. Position your VRI unit close to, and directly in front of the client or patient, so they can see the interpreters face and hands clearly at all times. Stand just behind and to the side of the unit for the duration of the interpreting session for an easy flow of conversation.

3.) Make it Comfortable:

Your client or patient’s level of comfort is important. When there is a language barrier, it can cause anxiety, particularly in medical settings or in urgent situations. Make it clear to the person requiring an interpreting that a video interpreter can be reached at any time. Understanding that there will always be a way to communicate in the language they speak will go a long way to making the person feel less anxious, which will lead to better communication.

4.) Setting VRI Protocols:

Video remote interpreting is a perfect solution for many situations, but it may not be perfect for every situation. If you utilize other interpreting methods, such as on-site interpretation, or telephonic interpretation, work with a language service provider, and your staff, to determine the best situations for using VRI technology to maximize your team’s efficiency and effectiveness in working with limited-English-speaking populations.
